Privacy Policy

Harkr ("Harkr", "we", "us") provides an AI meeting assistant at harkr.ai and app.harkr.ai. It records the meetings you choose and produces transcripts, summaries, action items and translations. This policy explains what information we collect, how we use and share it, how long we keep it, and the choices you have.

Information we collect

Account information: your name, email address, password (stored only as a secure hash), time zone and settings.

Meeting content: when you send Harkr's notetaker to a meeting, record in your browser, or upload a file, we process the audio (and video, if you turn it on), the participant names shown by the meeting platform, and the transcripts, summaries, action items, translations and other notes we generate from it.

Calendar information: only if you connect Google Calendar. See "Google user data" below.

Integrations you configure: Slack or webhook addresses you add, stored encrypted.

Billing information: payments are processed by Stripe. We receive your plan and billing status; we never receive or store your full card number.

Technical information: IP address, browser type, and logs of requests and errors, used to keep the service secure and working. We do not use advertising or third-party analytics trackers.

How we use information

We do not sell personal information. We do not use your meeting content or Google user data to train AI models, ours or anyone else's.

Google user data

If you choose to connect Google Calendar, Harkr requests read-only access to your calendar (calendar.readonly) and your Google account email address.

What we access: your upcoming calendar events: the event title, start and end time, organizer, attendee email addresses, your response status, and the video meeting link (Zoom, Google Meet or Microsoft Teams). Harkr cannot create, change or delete anything in your calendar.

How we use it: only to find upcoming meetings that have a video link, following the auto-join setting you choose, and to schedule Harkr's notetaker to join them. The event title and attendees are shown to you in Harkr and used for that meeting's recap. We do not use Google user data for advertising, and we do not use it to develop, improve or train generalized AI or machine-learning models.

Sharing: we do not sell Google user data or transfer it to third parties. The exceptions are the service providers listed below that host and operate Harkr on our behalf, transfers you direct (for example, sending a recap to meeting attendees), and disclosures required by law.

Storage and protection: your Google access credentials are encrypted before they are stored. Calendar data is stored on Amazon Web Services in the United States and protected as described under "Security".

Retention and deletion: you can disconnect Google Calendar at any time in Harkr Settings. When you do, we revoke Harkr's access with Google, erase the stored credentials, and cancel notetaker visits we scheduled from your calendar. You can also remove Harkr's access at any time from your Google Account at myaccount.google.com/permissions. Scheduled-meeting entries created from your calendar are deleted when you delete your account.

Harkr's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

How we share information

Recording and consent

Harkr's notetaker joins meetings as a visible participant, so everyone in the meeting can see that Harkr is present. Some states and countries require every participant's consent before a meeting is recorded. You are responsible for giving notice and obtaining any consent required for meetings you record with Harkr.

Retention and deletion

We keep meeting content for your plan's retention period, or the shorter period you set in Settings, and then delete it automatically. You can delete any meeting at any time, or delete all of your meeting data from Settings. To delete your account, email support@harkr.ai from your account email address. We delete your account data within 30 days, except limited records (such as billing records) we must keep to meet legal obligations. Backups are overwritten on a rolling basis.

Security

Harkr runs on Amazon Web Services in the United States. Data is encrypted in transit (HTTPS/TLS) and at rest (AES-256). Recordings are kept in private storage with public access blocked, our database is not reachable from the public internet, and only authorized staff can access production systems. No system is perfectly secure, but we work to protect your information and will notify you of a breach as required by law.

Your rights and choices

In Harkr you can update your account information in Settings, export meeting summaries, turn off recap and reminder emails, disconnect integrations, and delete your data as described above. Depending on where you live (for example, California), you may also have the right to know, access, correct, delete or port your personal information, and not to be discriminated against for using these rights. We do not sell or "share" personal information for cross-context behavioral advertising. To make a request, email support@harkr.ai; we will verify it using your account email.

Children

Harkr is not directed to children under 13, and we do not knowingly collect their personal information.

International users

Harkr is operated in the United States. If you use Harkr from elsewhere, your information is processed in the United States and by the service providers listed above, in the locations shown.

Changes to this policy

We may update this policy. If we make material changes, we will notify you by email or in the app before they take effect. The effective date above shows when the policy was last updated.
